Job Title: Graduate Trainee- Human Resources
Location: Kampala
Job Purpose:
The Graduate Trainee will support the HR department in delivering efficient and accurate
administrative services across key HR functions, including employee records management,
benefits coordination, recruitment and onboarding, and general office support.
This is an excellent opportunity for a recent graduate to gain practical experience in a dynamic
and innovation-driven environment.
Key Responsibilities:
Staff Welfare & Benefits Administration
- Support the administration of employee benefits, including registration, updates,
- and claims related to medical insurance, Group Personal Accident (GPA), and
- Group Health Insurance.
- Track changes resulting from onboarding, internal transfers, and staff exits.
- Maintain accurate records of company motorcycles issued as staff benefits.
- Liaise with service providers to manage benefit usage, claims, and policy
- updates.
- Monitor and reconcile benefit-related payments and maintain updated reports.
Airtime and Communication Allowance Management
- Update monthly staff airtime allocation lists based on staffing changes.
- Coordinate with the service provider to ensure timely top-ups.
- Track individual allocations and generate usage reports for accountabil
Employee Records Management
- Maintain accurate and confidential digital and physical employee files.
- Ensure all required employee documentation is complete and up-to-date.
- Support HR audits and internal reviews by availing requested records promptly.
Recruitment and Onboarding Support
- Assist in organising recruitment activities, including scheduling interviews and
candidate communication. - Prepare onboarding kits and coordinate documentation for new hires.
- Track completion of pre-employment requirements such as background checks
and references. - Maintain updated trackers for recruitment and onboarding progress.
Employee Letters and Tools of Trade
- Draft and issue official staff letters (e.g., confirmations, certificates of service,
salary bank letters) in line with approval protocols. - Maintain a register of issued letters and ensure proper filing and authorisation.
- Facilitate the issuance and replacement of staff identification cards and work
tools.
Statutory Compliance and Subscriptions
- Monitor timelines for renewing statutory documents such as trading licenses and
- tax clearance certificates.
- Liaise with internal departments to support timely submissions and payments.
- Maintain an annual compliance tracker for all company registrations and
- certificates.
HR Office Supplies and Stationery Management
- Monitor stock levels of HR-related office supplies.
- Initiate restocking based on usage trends and approved budgets.
- Ensure the continuous availability of necessary materials to support HR
operations.
Qualifications
- Bachelor’s degree in Human Resource Management, Business Administration, Industrial Psychology, or a related field.
- Recent graduate (2024 or 2025) from a recognized institution.
